    How do I connect FieldRoutes to Pest AI?

    Step by step

    1. Decide the system of record before you touch credentials

      For nearly every partner, FieldRoutes owns customers, subscriptions, and completed services, while Pest AI owns leads, conversations, and pipeline stages until a lead becomes a customer. Write that down first. Every mapping decision below is easy once the ownership question is settled, and painful if it is not.

      Watch out: Two systems both claiming ownership of the customer record is how partners end up with conflicting addresses and duplicated recurring services.

    2. Generate API credentials in FieldRoutes

      In FieldRoutes, create an API key and authentication token scoped to the office you are connecting. Note the subdomain — the integration needs it to build the endpoint. Store the credentials in a password manager; you will not be able to read the token again after it is created.

    3. Add the connection in Pest AI

      Open the FieldRoutes integration in your Pest AI account, paste the key, token, and subdomain, and run the connection test. A successful test pulls back your office name and a sample customer count, which is the fastest confirmation that the credentials are scoped correctly.

    4. Map customers and the dedupe keys

      Match the FieldRoutes customer fields to the Pest AI contact fields: first and last name, primary phone, email, service address, and the FieldRoutes customer ID. Set the dedupe keys to phone and email, and store the FieldRoutes ID on the contact so future updates match on the ID rather than guessing.

      Tip: Normalize phone numbers to E.164 before the first sync. Mixed formats are the single biggest source of duplicate contacts.

    5. Map service types and appointment statuses

      Map each FieldRoutes service type to the corresponding Pest AI service so quotes, campaigns, and reporting line up. Do the same for appointment statuses — scheduled, completed, cancelled, no-show — because your follow-up automations trigger on those values.

    6. Run a one-way sync on a small subset first

      Enable FieldRoutes-to-Pest AI only, limited to a recent date range or a single service type. Inspect twenty resulting contacts by hand: correct names, correct addresses, no duplicates, FieldRoutes ID present. Fix mappings and re-run before widening the scope.

    7. Turn on the write-back path

      Once inbound data is clean, enable Pest AI to write back the things it owns: new leads created by the voice agent or web forms, booked appointments, and call outcomes. Keep write-back narrow. The temptation to sync everything both ways is what makes integrations fragile.

      Watch out: Never enable two-way sync on the address and billing fields at the same time. Pick one direction, or you will get edit loops.

    8. Verify end to end with a live booking

      Have the voice agent book a test appointment. Confirm the contact, appointment, and notes appear in FieldRoutes on the right customer, then mark it complete in FieldRoutes and confirm the status flows back and fires your review-request workflow.

    Common mistakes

    • Syncing the entire customer history on day one before validating the field mapping on a small sample.
    • Leaving phone numbers in mixed formats, which defeats dedupe and creates a second contact for existing customers.
    • Enabling two-way sync on the same fields in both directions, producing endless update loops.
    • Mapping only the service types you use today and forgetting seasonal ones, so summer campaigns land unmapped.
